We are looking for an Office & Leadership Operations Partner to join our Airbus GBS in Lisbon!
Responsibilities - your mission
As the Office & Leadership Operations Partner, you will act as a strategic partner to the Airbus GBS Leadership Team, driving operational efficiency and managing critical external relationships. While your primary focus is streamlining the daily operations, communications, and strategic missions of Senior Management, you will also serve as a vital on-site liaison for employee engagement and facilities coordination.
1. Executive Operations & Stakeholder Management
Calendar & Workflow Optimization: Proactively manage and optimize calendars, schedules, and task prioritization for the Managing Director and leadership team.
High-Level Event & Travel Logistics: Oversee end-to-end planning for strategic meetings, leadership events, and complex international travel, including efficient expense management.
Strategic Correspondence: Serve as the primary interface for incoming/outgoing communications; analyze, prioritize, and route emails, letters, and critical documentation.
External Relations Coordination: Act as the central point of contact and liaison for high-profile external stakeholders, including embassies, corporate partners, and government entities (e.g., Secretary of State).
2. Site Operations & Facilities Liaison
On-Site Leadership Liaison: Act as the primary on-site representative for the Lisbon office, bridging the gap between local employees and the remote Facilities Manager to address day-to-day workplace needs.
Performance & SLA Oversight: Monitor the performance of the Facilities Management provider, ensuring vendor services (cleaning, maintenance, etc.) strictly adhere to agreed Service Level Agreements (SLAs). Serve as the first line of on-site escalation.
Supply Chain & Inventory Control: Manage office inventory and supply chains; oversee procurement, verify deliveries, and maintain strong supplier relationships.
3. Information Management & Office Governance
Data Privacy & Confidentiality: Safeguard highly sensitive and confidential business information, ensuring strict compliance with document security and encryption protocols.
Information Architecture: Maintain, structure, and organize digital and physical records to ensure seamless accessibility and data integrity for the management team.
Workplace Readiness: Supervise meeting room ecosystems, ensuring scheduling, advanced tech setup, and hospitality requirements are perfectly prepared for executive sessions.
Based in Airbus GBS Lisbon, the jobholder will actively contribute to the success of the new entity in order to make it a real differentiator for Airbus Group efficiency.
